Word Assignment 1 (Formatting) Assignment

Learning Objectives:

Description: Follow the directions below to create a document that shows off the basic features of a Word document. The document will also display some of the formatting features available for use with text.

Directions:

1.    Open MS Word.

2.    Put your name, today’s date, the class, and period in the Header using Arial, font size 11.

3.    Align your name, the date, the class, and period on the right hand side of the Header.

4.    Type in the name of the assignment “Word Assignment 1” on the first line – not in the header Using Arial, font size 14.

5.    Center the name of the assignment and skip a line before starting step 6.

6.    Save this file as Word Assignment 01(FN)(LN) in your H: drive.

·         NOTE: FN stands for first name, LN stands for last name.

·         Example: If your name was“John Smith”, you would save this as “Word Assignment 1 John Smith”.

7.    Type in the following sentence (on a new line):GO BEARS, Beat KSS!

8.    Change the formatting of the sentence in part A to the following:

·         Font: Goudy Stout Effect: Underline

·         Alignment: Center Color: Red

·         Size: The word “KSS” should be size 10 and the rest of the sentence should be size 20.

Would look like this when done:

GO Bears, Beat kSS!

NOTE: You are to apply the formatting stated for the entire sentence unless it tells you otherwise.

Type in the following sentences (each on a new line):

·         This class is awesome!

·         I want to learn a lot this semester.

·         Mount Boucherie High School is a great place.

·         Basketball is my favorite sport.

·         The football team is going to beat KSS this year.

·         I like jumping out of planes at 14,000 feet.

·         I enjoy hanging out with my friends.

·         Room 115 is a great place to learn new things.

·         The QO Girls Field Hockey team is going to beat Northwest this year.

·         I dislike taking the DDC Testing without help.

·         This Spring break I am going skiing.

·         I like learning how to keyboard with ATRT.

·         My computer has a 40 gig hard drive.

·         Mount Boucheries school mascot is a ferocious bear.

1.    Change the formatting of “This class is awesome!” to the following:

·         Font: Tahoma Font Size: 16

·         Alignment: Left Color: Red

·         Effect: none

2.    Change the formatting of “I want to learn a lot this semester.” to the following:

·         Font: Bernard MT Condensed Font Size: 14

·         Alignment: Left Color: Rose

·         Effect: none

3.    Change the formatting of “Mount Boucherie High School is a great place.” to the following:

·         Font: Chiller Font Size: 20

·         Alignment: Center Color: Aqua

4.    Change the formatting of “Basketball is my favorite sport.” to the following:

·         Font: Elephant Font Size: 22

·         Alignment: Right Color: Orange

·         Effect: Underline

5.    Change the formatting of “The football team is going to beat KSS this year.” to the following:

·         Font: Impact Font Size: 21

·         Alignment: Left Color: Red

·         Effect: Bold

6.    Change the formatting of “I like jumping out of planes at 14,000 feet.” to the following:

·         Font: Goudy Stout Font Size: 28

·         Alignment: Justify Color: Red

·         Effect: Underline only the words “14,000 feet.”

7.    Change the formatting of the sentence “I enjoy hanging out with my friends.” to the following:

·         Font: Script MT Bold Font Size: 22.5

·         Alignment: Right Color: Green

·         Effect: Underline the words “enjoy” and “my friends”

8.    Change the formatting of “Room 115 is a great place to learn new things.” to the following:

·         Font: Batang Font Size: 48

·         Alignment: Justify Color: Blue

·         Effect: Italics

9.    Change the formatting of the sentence “The QO Girls Field Hockey team is going to beat Northwest this year.” to the following:

·         Font: Perpetua Font Size: 19

·         Alignment: Left Effect: none

·         Color: The words “QO Girls Field Hockey” should be in Red, the word

·         “Northwest” should be in gray 50% and the rest of the sentence should be in Black.

10.Change the formatting of “I dislike taking the DDC Testing without help.” to the following:

·         Font: Tahoma Font Size: 16

·         Alignment: Center Color: Red

·         Effect: Bold only the words “dislike” and “without”

11.Change the formatting of the sentence “This Spring break I am going skiing.” to the following:

·         Font: Verdana Font Size: 12

·         Alignment: Left Color: Black

·         Effect: none

12.Change the formatting of “I like learning how to keyboard with ATRT.” to the following:

·         Effect: none Font Size: 14

·         Alignment: Center Color: Black

·         Font: The words “ATRT” should be in the Castellar font and the rest of the sentence should be in the Times New Roman font.

13.Change the formatting of “My computer has a 40 gig hard drive.” to the following:

·         Font: Tahoma Effect: none

·         Alignment: Right Color: Lavender

·         Size: Make the words “40 gig” size 40 font and the rest of the sentence should be size 14 font.

14.Change the formatting of “Mount Boucheries school mascot is a ferocious bear.” to the following:

·         Font: Bradley Hand ITC Font Size: 22

·         Alignment: Left Effect: Bold

·         Color: Make the word “bear” the color Red, the word “ferocious” the color Black, and the rest of the sentence should be Gold.

15.Make sure to run a spelling and grammar check on your document. You should not have any misspelled words in your document.

16.Make sure to save your document.

17.Inform the teacher that you have completed the assignment and you are ready to be graded.

Save to H:/ IT-A/Term 1 and I:\Hand-in\<Teacher Name>\IT

A few simple steps to help make your Word documents more accessible.

It is not always possible to make all your Word documents accessible to all users so it is important to remember that you should also provide a document tagline that offers to provide the information in an alternative format upon request.

Styles and headings

Use the styles and formatting toolbar in Word when structuring your document as this will make it easier for disabled users to adapt the document to meet their needs and to navigate around the document if using a screen reader.

Font size

It is best practice to type word documents in font size 14, and no smaller than font size 12, to assist readers with visual impairments.

Remember that no one font size will suit everyone. However, it should be easy to provide the document in an alternative font size upon request.

Font type

It is best to avoid the use of non sans-serif fonts, such as Times New Roman.

The more ornate the font, the fewer the number of individuals who will be able to read it. 'Word Art' is not compatible with some screen readers.

The recommended fonts are:

  • Arial
  • Verdana
  • Calibri
  • Universe
  • Helvetica

Capitals, bold, underlining and italics

Avoid the use of Italics and underlining wherever possible.

Continuous text should not be in capitals, although a couple of words in capitals is acceptable.

Wherever possible use bold to emphasise items or create headings as this is the most accessible type of formatting.

Contrast and text colour

For the University it is usually best to use dark ink against a pale background as this is best for users with specific learning difficulties such as dyslexia, although some users with visual impairments may find a pale font on a dark background easier.

It is important that there is sufficent contrast between the font colour and the background colour. For example, black font on a cream or yellow background is a good contrast. Backgrounds should always be plain.

Some individuals may require printed documents on different coloured paper as this can assist those with dyslexia and other specific learning difficulties.

Alignment

Use left alignment.

Do not use justified text as this makes the spaces between words uneven which can make it difficult for some individuals to read. By aligning to the left you ensure the spaces between words are equal.

Line spacing

Double or 1.5 spacing between lines can make a document more accessible.

One line space at least should always be left between paragraphs.

If you are creating a form; the larger you make the response areas the better, as this will make the document more accessible to individuals with physical dexterity impairments.

Paper type

Avoid glossy paper or laminated documents as these produce glare which can make them inaccessible. Uncoated paper is best.

In addition, make sure the paper is thick enough that print from one side of the paper does not show through to the other side. The Royal National Institute for the Blind recommend paper over 90gsm.

If you are folding the document, to place it in an envelope for example, make sure the fold lines do not cross over text as this makes it unreadable to scanners or screen magnifiers.

Page numbering

To ease accessibility (and usability) ensure all pages are numbered in the same place. Adding in contents and summaries can make longer documents easier to navigate.

Writing style

Avoid the use of abbreviations which have not been given in full the first time they are used in the document.

Also, avoid the use of particularly long sentences and use words and phrases that best suit your audience.
